Foundation Scholarship Check Process
Congratulations
Foundation Scholarship Check PIT! Team members: Katy Prange, Jayne
Meyer, Molly O’Connell, Donna VanderWyst, Joan Zielinski, Derek
Jablonicky, Kristin Abell, Cindy Dross, Barb Dodge. This PIT created
a leaner process in just 3 days. The team anticipates the process
to be in full effect by March 1, 2009. Their results are listed below:
• 100% elimination
of check printing: est. 200 per year saves 12 hours of staff time.
• 20% reduction in major processing steps: from 24 to 19. 8
total processing activities were removed replaced by leaner “transfer
of funds” and communication of completed steps.
• 50% reduction in time as measured by days ( time span reduced
by 5 – 6 days)
• 100% elimination of CSA’s time to prepare and post checks
(10 min per check = 33 hours per year)
• 100% elimination of check requests
• 100% elimination of duplicate copies of checks reducing time,
paper and storage materials.
• At least 4 hours of time saved for rework and adjustments
for ineligible students (2 hours for Foundation staff, 2 hrs Financial
Aid)

I:/Research-Planning/Process Improvement is currently storing the
PIT documents. Completed PIT information and a manual, with checklists,
to get you started on a new project are located there. New to the
collection is a "mini-PIT" checklist for those smaller projects
you want to do within your departments.
If it
is a long-standing headache, a process that involves a number of different
people or departments, when paper or people stall waiting for responses,
a new idea to be developed, or a problem to be solved, "it's
a PIT!"
The
PIT Steering Committee will meet again in January. We're
excited about a successful year ahead supporting great improvements
to student learning, student access to learning, and to improving
our work environments. If you have an idea you'd like to put into
